2.1 LOOPLA: www.loopla.com (the Website) is provided by Mas & Pas Limited t/a LOOPLA (we or us). We are registered in England and Wales under company number 11130731 and our registered office address is First Floor Office, 3 Hornton Place, London, United Kingdom, W8 4LZ.
3. What is the purpose of this Privacy Policy?
3.1 This Privacy Policy aims to give you the information on how LOOPLA collects and processes your personal data through the use of this website, including any data you may provide through this website when you access this website, register an account (Individual or Organiser) or ask for us to list an event on your behalf.
3.2 It is important that you read this Privacy Policy together with any other privacy policy or fair processing policy we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy policy supplements other notices and privacy policies and is not intended to override them.
4. Who’s in control of my personal data?
4.1 We are the “controller” of all personal data collected and used for the purposes of LOOPLA and for any other purposes set out in this Privacy Policy. This means that we are responsible for deciding how and why your data is used and for ensuring that your data is handled legally and safely. We are the “controller” of your data in respect of personal data provided as part of your account, any personal data we gather to help us improve our services, any personal data we use to provide competitions, any personal data used for marketing purposes, or any personal data provided for profiling or targeted advertising.
4.2 We are the “processor” of all personal data where we are processing data on behalf of the relevant controller and under their authority. In doing so, they serve the controller’s interests rather than their own. We are the “processor” of your data in respect of any personal data that an Organiser requires us to administer on their behalf (e.g. processing payments) in order for the Organiser to facilitate the events.
4.3 You have certain rights in relation to your personal data which are detailed in this policy, but if you decide you don’t want us to process personal data about you anymore, you can close your account at any time and request we delete any personal data we hold about you.
4.4 We have appointed a Data Protection Officer (DPO) who is responsible for overseeing questions in relation to this privacy policy. If you have any questions about this privacy policy, including any requests to exercise your legal rights, please contact the DPO using the details set out below.

5. What data do you collect and where from?
Organiser
5.1 If you are a business and you have signed up for an Organiser Account on our Website, we may collect, use, transfer and store personal data that you use to sign up. This includes a business email address, a business registered address, back account details (bank account name, account number, sort code) and business contact details.
5.2 Where you provide us with event listings we may share your email, the name of the person or organisation responsible for the service or event, images you provide and details of the event or service. Organiser profiles pages event listings and event listing cards are public and may show up in public search results.
5.3 You must ensure you are authorised to provide and share this information. You are responsible for keeping your details up to date and we will not be liable for any consequences of your failure to do so. Please keep us informed if your personal data changes during your relationship with us.
5.4 We collect, use, store and may transfer financial information needed for to integrate with third-party booking software such as Spektrix. This includes your registered Company address, account contact details and customer names, emails and telephone numbers. Please review the Spektrix’s privacy policy here.
Individual users
Identity and Contact data
5.5 If you are an individual user, we may collect, use, store and transfer some personal data such as your name, date of birth, residential address, and billing address (if different) and contact details (mobile number and email address) as well as the event you are interested in booking, directly from you when you use LOOPLA to enquire about booking an event.
5.6 If you register for an individual account with LOOPLA the data that we need in order to set up your account includes contact data such as your name, email, telephone number and password you set up to access your account.
5.7 When you are setting up your account, you will need to verify the information provided by a verification link in an email.
5.8 Once you have set up your account, you can choose to provide further information to personalise your profile if you wish. The information that you can (but do not have to) activities or locations of interest.
5.9 If a ticket is being purchased for yourself or for a child to attend the relevant event, additional information will need to be provided such as the child’s full name, age, residential address, date of birth, gender, the contact details of two emergency contacts, and any other information relevant taking into account the nature of the event. This information will be stored on your Loopla account so that it can be used for future purchases.
Financial data
5.10 We collect, use, store and may transfer financial information about your use of LOOPLA. This includes your billing address, the last 4 digits of the debit/credit card used to pay for tickets or bookings and the reference ID for the payment details. Usage data
5.11 We collect, use, store and may transfer information about your use of LOOPLA, your activity and interactions on the Website and we may use this to deduce further information about you. This helps us to make sure our Website is as relevant to you as possible. This includes heatmaps or behaviour analytics tools. information you post in comments, and reviews, responses to polls that you participate in, and personal data that you provide to us when you contact us with queries, complaints, or comments.

Technical data
5.12 We collect, use, store and may transfer technical data about how you use LOOPLA. This includes your IP addresses, device identifiers, information, browsing actions and patterns.

Aggregated data
5.14 We collect, use and may share aggregated data such as statistical or demographic data for any purpose. Aggregated data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity. However, if we combine or connect aggregated data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.
Competitions
5.16 We collect information about you when you participate in competitions, such as your contact information. This data is only used for the purposes of the relevant competition and will be subject to our Competition Terms and Conditions, which will be notified to you when you enter the competition.
If you fail to provide personal data
5.17 Where we need to collect personal data by law, or under the terms of a contract we have with you or with an organiser, and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with goods or services).
Exclusions
5.18 We do not allow under 18s to create an account on the Website. We encourage parents and legal guardians to monitor their children’s internet usage and to help enforce our Privacy Policy. If you have reason to believe that a child has set up an Individual or Organiser account, please contact us and we will endeavour to delete that account.
6. What do you use my personal data for?
6.1 We will only use your personal data when the law allows us to. We will use your personal data in the following circumstances:
6.1.1 Where we need to perform the contract we are about to enter into or have entered into with you or with an organiser;
6.1.2 Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests; and
6.1.3 Where we need to comply with a legal obligation.
7. What is your legal basis for using my personal data and what do you use my personal data for?
7.1 Data protection law says that we have to tell you the legal basis that we rely on to process your personal data for the purposes that we have notified to you. The table below tells you the ways we plan to use your personal data and what the legal basis is in relation to each of those purposes.
7.2 We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose.

7.4 If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

8. Who do you share my personal data with?
8.1. We need to share your personal data with some third-parties in some circumstances. This includes where we use third-party suppliers to perform various services for us. This includes the website designer and developer the purposes of developing, hosting, supporting and maintaining the Website. We may also share any personal data provided with third parties such as Google Ads and Facebook Ads for the purposes of (but not limited to) marketing, tracking conversions and informing us about how users are interacting with the Website. We will be sharing relevant financial data with Stripe in order to successfully process payments to Organisers using the Website.
8.2 We share your personal data (and the personal data of anyone else attending the event) with our Organisers that you make bookings with.
8.3 We will also share any personal data provided with our internal team (our website developers, website designers, marketing teams and administration teams) where necessary. This will be in circumstances where the internal team need the personal data to manage, develop and improve the Website or provide administration or marketing services. Very occasionally your personal data may also be shared with the provider of the server on which the Website is hosted, but this would only be if strictly required in the event of an emergency.
8.4 If you contact an Organiser with a query or to book an event and you choose to make that contact through our Website, we will need to send details of your query and your contact details to the relevant provider so that they can respond to you.
8.5. We use Hotjar in order to better understand our users’ needs and to optimize this service and experience. Hotjar is a technology service that helps us better understand our users’ experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don’t like, etc) and this enables us to build and maintain our service with user feedback. Hotjar uses cookies and other technologies to collect data on our users’ behaviour and their devices, This includes a device’s IP address (processed during your session and stored in de-identified form), device screen size, device type (unique device identifiers), browser information, geographic location (country only), and the preferred language used to display our website. Hotjar stores this information on our behalf in a pseudonymized user profile. Hotjar is contractually forbidden to sell any of the data collected on our behalf.

8.6 We use Mixpanel, a third-party analytics service, to collect data about user interactions on our website. This data is used for the purpose of analysing user behaviour, improving our website, and making informed decisions.
The information collected may include anonymous user interactions, events, and custom properties. By using our website, you consent to the collection and processing of data by Mixpanel.
We take appropriate measures to secure the data collected by Mixpanel and do not share it with third parties.Our website may use cookies for tracking purposes. You can manage or disable cookies through your browser settings.

8.7 We use Sentry frontend monitoring, a third-party analytics tool that tracks user actions on our website. This data is used for purpose of analysing user behaviour, records user-initiated actions and responses and provides analysis of our website’s performance. The information collected may include anonymous user interactions, events, and custom properties. By using our website, you consent to the collection and processing of data by Sentry. We take appropriate measures to secure the data collected by Sentry and do not share it with third parties.
8.8. We will also share your personal data with third-parties in the following circumstances:
8.8.1. where you have specifically consented to us sharing your data with a particular third party;
8.8.2. where we are required or permitted to do so by law or to protect or enforce our rights or the rights of any third party; and
8.8.3. if our business or any part of it is acquired by a third-party, in which case we will need to share your personal data with that third party
8.9 We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party Business Users to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
9. International Transfers
9.1. We may store the information we collect from you outside of the UK or transfer it to organisations outside of the UK. When we do this, we ensure that your information is protected and that:
9.1.1. the Information Commissioner’s Office (ICO) has deemed the country or organisation to provide an adequate level of protection for personal data; or
9.1.2. we’ve agreed specific contractual terms approved for use in the UK which give personal data the same protection it has in the UK.

10. How do you keep my personal data safe?
10.1 We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality.
10.2 We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
11. How long do you keep my personal data for?
11.1. We will keep all your personal data for as long as your account remains open. You can close your account at any time using the “Close account” option in your account settings. If you close your account, we will delete the personal data associated with your account. It will take 30 days for this personal data to be deleted. This will delete your profile and associated information.
11.2. You can delete reviews that you have made by selecting the “delete” option on that review.
11.3. If your account is inactive for a period of one year, we reserve the right to close your account and delete your personal data in accordance with section 11.1 above.
11.4. We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.
11.5 By law we have to keep basic information about our customers (including contact and identity data as well as financial data about any transactions on the Website) for 6 years after they cease being customers for tax purposes.
11.6. We have the right to delete any of your personal data at our discretion for any reason, including but not limited to where we exercise our rights to suspend or delete your account in accordance with our Terms and Conditions.
12. What rights do I have?
12.1 You have a number of rights under data protection law. These rights and how you can exercise them are set out in this section. We will normally need to ask you for proof of your identity before we can respond to a request to exercise any of the rights in this section and we may need to ask you for more information, for example to help us to locate the personal data that your request relates to.
12.2 We will respond to any requests to exercise your rights as soon as we can and in any event within one month of receiving your request and any necessary proof of identity or further information. If your request is particularly difficult or complex, or if you have made a large volume of requests, we may take up to three months to respond. If this is the case we will let you know as soon as we can and explain why we need to take longer to respond.

Right to access your information
You have a right to ask us to send you a copy of all the personal data that we hold about you (subject to some exceptions). All requests should be made in writing and sent to the email address shown in section 14. You will not be charged a fee. Ordinarily, we will aim to respond to a request for your personal data within a month. However, if the request is more complex, then the response time may be longer.
Right to an electronic copy of your information
You can also ask us to send you the mandatory account information we hold about you and/or any information you provide for the purposes of a competition in a common electronic format, or to ask us to transfer that data to a third party if you want us to and if it is technically feasible for us to do so.
Right to object to us processing your information
- You have a right to object to us processing any personal data that we process where we are relying on legitimate interests (or those of a third party) as the legal basis of our processing which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. This includes non-mandatory account and profile data, other personal data that you upload in posts, comments and messages, personal data we use for profiling and targeted advertising and the technical information that we collect for the purposes of analysing and improving the Website.
- If we have compelling legitimate grounds to carry on processing your personal data, we will be able to continue to do so. Otherwise, we will cease processing your personal data.
- Remember that you can always delete your account at any time through the “Deactivate account” section of your account settings. You can also delete posts and comments that you have made by selecting the “delete” option.
Right to ask us not to market to you
You can ask us not to send you direct marketing. You can do this by following the “unsubscribe” instructions in any marketing emails or by changing your account settings, or by contacting us using the details above.
Right to have inaccurate data corrected
- You have a right to ask us to correct inaccurate data that we hold about you. If we are satisfied that the new data you have provided is accurate, we will correct your personal data as soon as possible.
- You can update your own personal data at any time through your account settings. It is your responsibility to ensure that your personal data is accurate and up-to-date.
Right to have your data erased
- You have a right to ask us to delete your personal data in certain circumstances, for example if we have processed your data unlawfully or if we no longer need the data for the purposes set out in this Privacy Policy.
- We will delete the personal data associated with your account, including any posts you have made, when you close your account, as set out under “How long do we keep your data for?” above. Remember that you can close your account at any time, and you can delete your own posts and comments individually by selecting the “delete” option on the relevant post or comment.
Right to have processing of your data restricted
- You can ask us to restrict processing of your personal data in some circumstances, for example if you think the personal data is inaccurate and we need to verify its accuracy, or if we no longer need the data but you require us to keep it so that you can exercise your own legal rights.
- Restricting your personal data means that we only store your personal data and don’t carry out any further processing on it unless you consent, or we need to process the data to exercise a legal claim or to protect a third party or the public.
Right to request your data to be transferred
You have a right to ask use to transfer your personal data to yourself or a third-party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
Right to withdraw consent
Where we are relying on consent to process your personal data, you have the right to withdraw your consent at any time. This will not affect the lawfulness of any processing prior to your withdrawal of consent.
